Secretary/Office CoordinatorDUTIES AND RESPONSIBILITIES:
The Secretary/Office Coordinator performs a broad range of secretarial and administrative duties supporting the Milan based team.
This is a key role interacting directly with the International Operations Director as well as with colleagues across the International Department and US teams from time to time.
The Coordinator will take a lead role in the organisation and supervision of administrative and operational activities of the Milan based group.
This is a new role so the Secretary/Administrative Coordinator will have the opportunity to influence and assist in the design and implementation of various operational processes.
This Coordinator must have a wide skill set and experience in a similar role in order to successfully launch the operation. SPECIFIC RESPONSIBILITIES:
- Organise and coordinate meetings and travel arrangements-Diary management-Establish and maintain filing systems-Provide logístical support for projects-Manage incoming telephone calls-Input billable time and processing of expense reports-Book taxis and setting up conference calls-Provide general research services-Prepare drafts of correspondence, reports and any other documents-Amend, format and proofreaddocuments as instructed-Complete new matter/client forms and processes including conflicts checks and file opening-Assist billing processes as required-Coordinate and follow through on projects and other requests-Lead on implementation and operation of local-Coordinate with the International Operations Director and act as the local liaison in respect of facilities management including space, furniture, equipment and supply purchasing, reprographics, records storage, mail and courier operations and other facilities management functions. Technology systems oversight including coordinating with Firm IT functions and outside support vendors to support required technology infrastructure for the office. Other duties and responsibilities as may be requested or assigned from time to time.
BACKGROUND, KNOWLEDGE, SKILLS AND ABILITIES:
