YOUR DAILY JOB The Project Assistant supports and assists the Project Manager and the Project Team by helping and relieving them in the management and supervision tasks during the entire life cycle of the Project.
Duties and Responsibilities Planning and Management Assistance in project planning and management. Updating and reporting on Job progress / planning progress. Assisting the Project Team with flight / hotel bookings if requested. Document Control Handling of project documents and Customer's specifications: incoming documentation registration, archiving and internal distribution of documents; outgoing documentation collection, verification and transmission of documents to Customers, using available company databases and Customers' dedicated online documental platforms. Support in the preparation of some documents (cover, index, layout, page numbers…) and PowerPoint presentations, when requested. Vendors Expediting Handling and expediting of orders (materials and documentation), both by phone and by e-mail. Arranging transportations of goods to warehouses and workshops. Further Tasks Updating and reporting job costs control. Managing material testing notifications by coordinating with the Quality Control Department and Customer. Packing list compilation / Spare Part List compilation / SPIR Form. YOUR PROFILE University Degree. Fluent English and Italian; other languages appreciated. Knowledge of Microsoft Office (Excel, Word) and preferably of PDF editing programmes (e. g. Adobe Acrobat or alike). Good listening skills: receiving inputs from the Team, integrating strong communication. Good teamwork skills: relating with other colleagues and inclination to integrate and coordinate junior resources, if needed. Natural intuition, noticing minor details and coming to conclusions based on the evidence at hand. Strong interpersonal, team-oriented skills, self-motivation and direction, with strong bias toward timely performance and problem resolution. Adaptability on many projects at once, and ability to move across different projects rapidly. Flexibility to tackle unforeseen / unexpected requests. Creativity to help Project Managers develop alternative solutions to problems and contribute innovations to project development. Preferably full time (8 working hours / day, according to Company working hours). 5 years of experience in the same role and/or in OilGas / industrial sector / EPC projects is appreciated.
