We are seeking a highly organized, creative, and detail-oriented Wedding Planner to join our team and deliver extraordinary events tailored to our clients' vision.

Job Description As a Senior Wedding Planner, you will be responsible for guiding clients through the entire wedding planning process, from initial consultations to on-the-day coordination.

Your role will focus on venue sourcing, budget management, vendor coordination, logistical planning, and delivering a seamless and luxurious wedding experience.

Key Responsibilities Client Liaison and Management • Conduct Zoom consultations to meet couples and discuss their vision.

• Facilitate a full wedding appraisal questionnaire to understand preferences, priorities, and style.

Venue Sourcing & Site Visit Research and recommend venues that match the client's style, budget, and logistical needs.

Provide detailed venue fact sheets, spreadsheets, and analyses, including pricing, availability, pros and cons, and music restrictions.

Organise and coordinate site visits, with the option to accompany the client or conduct visits on their behalf Create and manage detailed budget spreadsheets and assist with budget tracking.

Develop wedding mood boards and logistics plans tailored to the client's vision.

Conduct venue inspections to address logistical challenges and ensure alignment with the wedding's theme.

Liaise with venues on behalf of clients to arrange backup plans and finalize logistical details.

Recommend and coordinate bookings for vendors (florists, caterers, entertainment, transportation, etc. )

Coordination & Communication Organise monthly progress meetings via zoom with clients to ensure alignment with the client's vision, along with styling advice for décor, florals, and stationery.

Maintain vendor tracking, including deposit and payment schedules.

Liaise with vendors to confirm final details and distribute the wedding day timeline.

Wedding Day Coordination Oversee all setup and breakdown activities with a team of on-site planners.

Coordinate vendor arrivals, setups, and ensure all décor and personal items are arranged perfectly.

Manage the event timeline, from the ceremony to key moments such as the first dance, cake cutting, and toasts.

Assist with wedding party preparation, photo schedules, and guest seating.

Ensure seamless execution of the ceremony and reception, including music cues and processional guidance.

• Provide and utilize a wedding day emergency kit to handle unforeseen challenges.

• Safely collect and remove gifts, personal items, and décor as outlined in the inventory list.

Marketing & Brand Management Assist with Instagram and TikTok posts showcasing past weddings, inspirational content, and behind-the-scenes planning.

Occasionally update the website with new content, including venue details, blogs, and client testimonials.

Develop visually appealing venue factsheets for online and client use, ensuring all materials align with our brand aesthetic.

Requirements Experience: Minimum 2 years in luxury wedding or event planning, with a portfolio of high-end weddings.

Skills: Exceptional organizational, multitasking, and communication skills.

Creativity and attention to detail are essential.

Knowledge: Familiarity with Italian venues, local vendors, and cultural wedding traditions.

Language: Fluency in English and Italian is a strong advantage.

Flexibility: Willingness to travel across Italy for site visits and events.
