Showcasing Pavilion/Venue Manager (Global Sporting Event) - Italian/English Speaking
DescriptionThe Venue Manager is responsible for ensuring the games time operation of the Showcasing Pavilion or Hospitality space and that it meets all project specifications, in order to deliver a unique and memorable visitor experience for the general public & the clients invited guests. We will have roles starting throughout 2025.
These will be contract roles until March 2026. Key Responsibilities:Venue Governance:Responsible for the day to day management and operation of the showcasing pavilion/ Hospitality Venue in accordance with the operations manualPrimary venue contact for iLUKA Senior ManagementDaily reporting to iLUKA Senior ManagementComplete Organising Committees opening and closing checklistsHealth & Safety / Incident Management reportingCoordinate communications strategy & manage day-to-day communication channelsAssist with post-games analysis & reportingPlanning & Management of Event Time Operations:Ensure the showcasing pavilion / hospitality venue is operated & maintained in accordance with the operations manualPrimary venue contact for all 3rd Party ContractorsResponsible for identifying and managing risk as per the operations risk assessment & escalating any operational issues to iLUKA Senior ManagementCrowd Management; ensure smooth traffic flow through queuing area & pavilion / venue, monitor visitor numbers & dwell time for H&S and visitor experience comfortSecurity primary contact.
Ensure security profile is maintained at all times and operates in accordance with security & operations manualVisitor experience & B2B hardware / software; coordinate pavilion technology personnel to implement technology failure contingency plan as rapidly as possible to reduce disruption to visitor experienceIT; coordinate pavilion / venue technology personnel to implement IT failure contingency plan as rapidly as possible to reduce disruption to visitor experience & back of house operationsWaste management; uphold a very high standard of cleanliness at all times inside the showcasing pavilion/ venue.
Manage 3rd party cleaning services to ensure they deliver to specification, & facilitate ad hoc cleaning as/when requiredBuilding maintenance; manage upkeep of pavilion in accordance with the operations manual and coordinate repairs as/when neededCatering; manage replenishment of catering supplies in collaboration with F&BManage all ad hoc deliveries / logistics as/when required liaising with logistics deptImplement and coordinate evacuation plan in the event of an emergencyEnsure all 3rd party contractors / suppliers are fully briefed with emergency, evacuation, health & safety, first aid & medical proceduresPlanning & Management of Event Time Staffing:Assist iLUKA Senior Management with the planning and running of the showcasing / venue host training sessions pre-eventManagement of showcasing / venue hosts & venue management team according to staff training manual during the eventMotivate showcasing / venue hosts & venue management team to deliver an unparalleled level of service to the client's guests & members of the general publicCoordination of venue management & security brief / debrief meetings (for all shifts on a daily basis)Coordination of host staff brief / debrief meetings (for all shifts on a daily)Supervise daily staffing roster to ensure punctuality, efficient shift changes, etcPlan and implement daily staff rotaEnsure all host staff are fully briefed with emergency, evacuation, health & safety, first aid & medical proceduresThis is not an exhaustive list and all team members will be expected to contribute to any other aspects of the business, as necessary. Skills, Knowledge, Expertise:Fluent in Italian and EnglishPrevious experience in a Showcase / Venue management role at a large-scale event with a demonstrable understanding of venue management. Large team management experienceExcellent IT skills, Excel, Word, PowerPoint - confident using different platforms and devicesStrong communication skills, both written and verbalAttributes:High energy, comfortable working potentially long hours in a demanding but rewarding and friendly environmentWilling to roll sleeves up and get involvedPassionate about sport, hospitality and deliveryAble to work in a calm, kind and professional manner in a pressured environmentAbility to prioritise a demanding workload #J-18808-Ljbffr
