Key role within the Site Services and Vendor Management team for the administration and coordination of multiple tasks mainly aimed at providing support and assistance.
**MAIN RESPONSIBILITIES**:
The position covers several areas that can be summarized as follows:
- ASSISTANT TO HR & SITE SERVICES SR DIRECTOR ITALY HUB
Daily agenda management
Personal expense report management and approval of direct expense reports
Business travel arrangements
Organization of meetings on site: setting up rooms + coffee break / lunch
- ARCHIFLOW (document management software)
Operational support to third parties (colleagues and suppliers)
Provide support in creating contracts for the HR department
- TRAINING
Activate/deactivate a person on the systems
Postpone exams due date
Give exemption/credit for a course
Assign/remove courses
Management reporting
- HR MAILING LISTS
Creation/Revision of all mailing lists related to HR
Monthly update of all mailing lists related to HR
- TRANSLATIONS
Translations of internal procedures, work instructions and processes
- MOVING COMPANIES AND RESIDENCE FACILITIES
Management of the files containing the details of the residence facilities, moving companies and related SAP codes
Quarterly review of the occupants of the residence facilities
Creation of residence facilities/moving companies brochures on the Italian territory
PO opening and management of the related contracts
- PEC ACCOUNT
Management of 17 account
Periodic review of relevant work instructions
Review of active/inactive users
REQUIRED QUALIFICATIONS
- Bachelor's degree
- English - fluent
- Previous experience in similar roles - Excellent knowledge of Office package
- Strong interpersonal and customer service skills
- Ability to interact and relate with all levels of Affiliate management
