**ORGANIZATIONAL CONTEXT**:
The Office of the Executive Director (OED) provides the necessary support enabling the Executive Director to effectively perform his/her leadership role.
OED assists the Executive Director in setting strategic direction, optimizing WFP's global profile and maximizing the organization's operational effectiveness.
OED supports the Leadership Group, the Senior Management Group and the offices that report directly to the Executive Director.
**JOB PURPOSE**:
The purpose of the assignment is to provide day-to-day support to the Executive Director in executing his functions, ensuring linkages with the broader OED team and relevant parts of the Organization.
The Special Assistant will accompany the Executive Director to his various engagements to provide all logístical and substantive support in coordination with the OED Team, as well as ensure appropriate and timely documentation of discussions and follow up.
The Special Assistant will also travel with the Executive Director, providing logístical and substantive support, as required, in close coordination with the OED team and ensure appropriate and timely documentation and records of all expenses incurred by the Executive Director and Special Assistant during the mission.
The Special Assistant will also be responsible for ensuring linkages between the Executive Director and OED team on priorities and information needs, as well as contribute to the strategic planning of the Executive Director's engagements.
The incumbent reports to the Chief of OED, while working directly with the Executive Director and other members of the OED team, particularly the Travel Team and Briefing Coordinator.
The incumbent also keeps regular contact with leadership across the organization as it relates to the Executive Director's engagements and follow up.
**ACCOUNTABILITIES / RESPONSIBILITIES (not at all inclusive)**:

Attend internal and external engagements with the Executive Director in order to provide dedicated logístical and substantive support.

While with the Executive Director, serve as a liaison between the Executive Director and OED team on issues related to information needs (e. g. , briefing materials), travel, and clearances, etc. , as required.

Keep the Executive Director informed on matters requiring his attention and ensure appropriate follow-up as directed.

Conduct research, review and situational analysis of key documents relevant to the office.
Analyze and engage in the various emerging concepts/systems/policies related to strategic corporate priorities, coordinate/consolidate feedback as appropriate.

Liaise regularly with the OED team to keep them abreast of key developments to ensure timely information flow across the wider OED team.

Document the Executive Director's engagements through Notes for the Record or other appropriate means to facilitate OED follow up.

Travel with the Executive Director to Donor Capitals and Field Offices, serving as the primary logístical focal point for the mission and in close consultation with the OED travel team; ensure all travel and related expense are appropriate documented and submitted to the OED travel team in a timely manner.

When travelling, always be ready for the unexpected.
For example, it is possible that a large emergency (e. g. , a natural disaster) could take place whilst the Executive Director is on mission, which may require changing travel at the last minute.
The Special Assistant must be clear on whom to call for what issue.
The Special Assistant must ensure the Chief of OED and the Chief of Staff are aware of all developments, and moreover seek their advice should a solution not be readily available.

In close consultation with OED communications colleagues, provide communications support while traveling or in other engagements to enhance the Executive Director's Social Media channels.

While serving as the "face" of the Executive Director, the Special Assistant must treat all colleagues and visitors with respect, even when under immense pressure.
