WHAT YOU'LL DO
The Specialist provides support to the team leader and broader Corporate Affairs (CA) team on key initiatives serving to deepen external relationships with C-suite through managing the firm's involvement in strategic forums (incl premium C-level platforms), designing, delivering and executing Bain's involvement and providing support along with an outstanding experience to Bain Partners before, during and after events.
The Senior Coordinator supports multiple events in a busy and fast paced environment, provides excellent customer service, and builds relationships with internal and external stakeholders.
**External Events**:
- Support development, operations and implementation of Bain supported CEO- and Chairman
- level initiatives, including (but not exclusively) WEF projects, Everest (former W50)
- Own full responsibility for assigned projects: driving planning, design, coordination and execution, including (and not exclusively):
- Project management:
- Create and drive project timelines, plans, concepts covering all aspects of event production
- Prepare event briefing materials (e. g.
memos, prep materials, research if needed)
- post event (postmortem, updated CRM, activities.
)
- Regular updates with event owner (Practice or Local marketing team and event champion)
- Pre and post event support, including coordination of logistics (accommodation, transportation), invitation (full process), registration, external vendors, creative services, centers of excellence, and materials on other external events such as Davos, Bain sponsored events, private events
- Oversee and update/manage CRM and face book compilation for each event, executive agendas as needed
- Draft/review content for internal intranet and external website posting
- Establish and maintain close relationship with assigned points of contact at external organizations
- Liaise with partner EAs on logistics
- Onsite production
- Ensure flawless execution
- Deploy and update playbook
**Internal/ External Communications**:
- Prepare/draft communications with CoEs, stakeholder EAs
- Compile post event data and post mortem deck for own and occasionally other projects
- Promote shared learning internally
Other
- Support on CEO/Chairman related activities as needed
- Maintain pipeline and event schedule
- CRM system: oversight to ensure accuracy and updates of data and activities by CRM team, incl contact data, activities as well as updated profiles, community decks, backgrounders
- Execution of department strategies and policies
- Admin support (prepare drafts for VP)
- Help develop strategic internal and external corporate relationships
- Ensure seamless collaboration across CoEs
- Populate and keep WEF shared drive and WEF activities external website current
ABOUT YOU
- BA or equivalent undergraduate degree; preferred in marketing with strong academic performance
- Minimum of 3-5 years in event management role or similar
- Excellent interpersonal skills
- Demonstrated success in project and problem-solving, detail-orientation and customer service skills
- Highly organised, with attention to details, and process-driven; handle situations with poise, understanding and tact
- Proven ability to work remote and in virtual teams
- Ability to prioritize and manage a diverse workload concurrently
- Thriving in a fast-paced, changing, and deadline-driven environment
- Outstanding written and verbal communication skills
- Proficiency with current technology and software (ppt, Microsoft Office, CRM, project/event management)
- Self-starter, pragmatic
- Languages: English +1 required
- Based in EMEA (preferred: Warsaw, Copenhagen, Milan, Munich)
- Occasional travel may be required
- Ideally available to start as soon as possible
