Reporting to HR Manager of Rho site
Scope of this role As a payroll lead, you will oversee all aspects of payroll processing, ensuring accuracy, compliance, and timely payments of employees at our organization for 4 Italian TAPI sites. You will also collaborate with various departments to gather and validate payroll information, resolve payroll discrepancies, and provide exceptional service to our employees. The ideal candidate possesses strong knowledge of payroll regulations, experience in a manufacturing environment, exceptional organizational skills, and a commitment to maintaining confidentiality.
Main responsibilities Manage end-to-end payroll processing, including collecting, calculating, and inputting payroll data for all employees (salary calculations, deductions, and benefits administration, such as provident fund, insurance, and healthcare plans in ADP system). Ensure accuracy and compliance with applicable laws, regulations, and company policies while processing payroll. Administer and maintain payroll systems, timekeeping, ensure data integrity and implement system upgrades and enhancements. Process new hires, terminations, promotions, and other employee status changes in the payroll system, to ensure accuracy and resolve discrepancies. Collaborate with HR team, finance outsourced payroll provider, and third-party suppliers in a professional, timely, and competent manner to gather and validate payroll information, such as new hires, terminations, promotions, and salary changes. Monitor and resolve payroll discrepancies, investigating and resolving issues promptly and accurately. Able to manage processes, to review and create new regulated procedures in order to grant compliance and prevent errors. Generate payroll reports, including tax filings, benefits deductions, provident fund filling, and other required reports, ensuring compliance with regulatory requirements. Maintain accurate employee records, including attendance, leaves, and personal information in a safe and confidential manner while adhering to local rules for data protection (GDPR). Address employee inquiries and concerns related to payroll, providing exceptional customer service and support. Conduct regular payroll audits and ensure compliance with Italian labour laws, tax regulations, statutory requirements, and company policies. Liaise with auditors and manage payroll tax external audits. Maintain confidentiality and data security standards for all payroll-related information. Stay updated on payroll regulations, Italian tax laws, and industry trends, implementing necessary changes to ensure compliance and best practices. Provide accurate training to relevant functions and employees about updated regulations, Italian laws, and internal procedures. Main activities Collect payroll monthly changes from all different sources, enter instructions into the payroll provider system, and review payroll reports from the provider. Documentation of review according to SOX and internal controls. Organize the updating of the payroll system as per legislation when required, annual statutory declarations for authorities and employees. Internal and external audit support. Management of employees' questions via email & at TAPI sites. Implementation of new benefits and legislative updates. Vendor management (QBR, monthly meetings, budget). In-depth knowledge of payroll processes, labor laws, taxation, and statutory compliance in Italy. Experience in a manufacturing environment - mustProven experience with payslip calculation for operational sites. Experience in handling payroll audits, inspections, and compliance assessments. Proficiency in payroll software and systems, such as Zucchetti and ADP, with experience implementing and managing payroll systems. Excellent understanding of financial principles and the ability to reconcile payroll with financial records. Strong attention to detail and accuracy in managing complex payroll calculation data. Good organizational and time management skills to meet strict payroll deadlines and manage multiple priorities. Exceptional communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization. High level of integrity and ability to handle sensitive and confidential information. Proficiency in Microsoft Office applications, particularly Excel. Preferred skills and qualifications. Familiarity with payroll-related aspects of Italian Pharmaceutical National Contract. Strong understanding of accounting principles and practices related to payroll. Location and working program Rho (MI), from Monday to Friday.
