TEAM ASSISTANT & OFFICE SUPPORT
We are looking for a Team Assistant for our Construction business line!

Role & Responsibilites
The Assistant is responsible for the coordination and management of the office activities, thus ensuring its perfect functioning.
The applicant supports the business and, in particular, the Construction Manager team to successfully complete the projects Tétris is in charge of.

**EXPERIENCE**: previous experience in the role of 2/3 years in the Real Estate sector, possibly
RESPONSIBILITIES
Office Management and administrative / secretarial activities
- Welcoming visitors and incoming calls management
- Mail sorting and couriers
- Office supplies and managing printer maintenance requests
- Booking and organizing business trips, organizing diaries
- Expense reports
- Activation of new employees' mail accounts and providing initial information
- Support to finance and marketing department
Support to the Construction Manager Team
- Preparation of documentation to participate in tenders (NDA, RFI, RFP, etc.
)
- Preparation of safety documentation related to site activities
- Assistance in the signing of supplier contracts (filling, signature collection, attachments checks)
- Support in the activities of creation and closing of projects in the internal management software
- Storing contracts related to the projects
REQUIRED PROFILE
- English level B2
- Multitasking, flexibility in adapting to different tasks that fall within the position
- Organizational and time management skills
- Communication skills
- Team spirit
- Ability to work independently/self-motivation
- Commitment and sense of responsibility
La risorsa si occupa del coordinamento e della gestione delle attività di ufficio, garantendone il perfetto funzionamento.
Supporta il business ed in particolare il team dei Construction Manager nella buona riuscita della commessa.

Accoglienza ospiti e gestione centralino
Smistamento posta e commissioni a mezzo corriere
Approvvigionamento materiali per l'ufficio e coordinamento richieste di manutenzione su stampanti
Prenotazione viaggi, organizzazione trasferte e agende
Predisposizione nota spese
Attivazione account di posta dei nuovi assunti e dotazioni iniziali
Supporto al dipartimento finance e marketing
Supporto al Team Construction Manager
Predisposizione documentazione per partecipare alle gare d'appalto (NDA, RFI, RFP ecc.
)
Predisposizione documentazione sicurezza legata all'attività di cantiere
Assistenza nella stipula di contratti fornitori (compilazione, reperimento firme, verifiche allegati)
Supporto nelle attività di creazione e chiusura delle commesse nel gestionale interno
Archiviazione contratti
