Transport Senior Coordinator
JOB DESCRIPTION We are currently seeking a Transport Manager/Coordinator (TM/TC), reporting directly to Transport Execution Section Head (TC SH) to join our Procurement Department team based in Milan, Italy. About the Job The Transport Manager (TM)/Coordinator (TC) personnel is responsible for executing all activities relevant to Transport on Projects, managing the Transport Service Orders and the Freight Forwarders (FF). He/She works in strict coordination with the Transport Estimating and Contract (TEC) for all matters relevant to Project Procedure, Transport Service Order (TSO) implementation and revision, and cost monitoring. Reporting lines and interactions: Hierarchically reports to: Transport Execution Section Head (TC SH). Operationally reports to: TM reports to Project Procurement Manager (PPM), TC reports to TM. Directly supervises (operationally): Technip and/or Agency resource(s), if any. Key interactions (internally, externally): Externally: Suppliers, Freight Forwarders (FF), Clients, Marine Warranty Surveyor, Customs, Shipping Agencies, Port Authorities, and Insurer. Internally: Project/Proposal Team, Procurement, Engineering, Quality, Administration, Accounting, Estimating, Construction, Insurance, and Legal. Responsibilities include, but are not limited to: Transport Coordinator (TC): TC is in charge of executing Project Transport activities for the tasks assigned to him/her by TM, coordinating the FFs accordingly. He/she will be required to: Attend Kick Off Meetings (KOM) called by TM with FF, in TEN offices/Site. Attend Vendor Performance Management (VPM)/Transport meetings called by Project Procurement Manager (PPM) and update FF accordingly. Coordinate the transport activities by reviewing Supplier documents for transport and the loading plan, contacting the Supplier to coordinate the pick-up operations, issuing the Shipping Release Note (SRN), coordinating the FF, and providing FF with all documentation needed for export-import operations. Regularly distribute and update FFs Shipping Notice to the involved parties. Update transit time and transport costs for each equipment and material. Prepare and update the Transport Schedule. Monitor that the transport schedule is in accordance with the timeframe agreed with FF for each different transport stage. Timely update the Site staff with ETA to allow Site activities optimization. Prepare and update the Transport Summary. Transport Manager (TM) will, in addition to the above: Coordinate the TC assigned to the project. Perform Transport Survey and prepare the relevant report. Consolidate the man hours budget provided during Proposal phase jointly with TC SH, monitoring the consumption of man hours budget vs the forecast at project completion. Assign the transport costs to the equipment/material to be shipped, jointly with TEC. Call KOMs in TEN offices/Site with FF. Support Purchasing Department in the negotiation with suppliers and attend, if required, the KOM. Define methods and means of transportation to be adopted by FF. Request FF to nominate conventional vessels, proceeding with the relevant irreversible binding confirmation towards FF. Highlight any assessed deviation from transport strategy and/or Transport Service Order prices (change of means of transport, pick up points, etc. ) before transport execution to Project Team, TC SH, and TEC SH. Identify and communicate to TC SH any potential shipments, not covered by the main Transport Service Order, to be assigned to a suitable FF. Process the FF invoices, verifying that they are in accordance with the authorized services. Report to TC SH any deviations to the assigned Man hour Budget and notify the change to Project Team through PPM. Support PPM for Insurance Claims. Issue project transport activities reporting on a monthly basis (including the Transport Cost Control Report). About You We'd love to hear from you if your profile meets the following essential requirements: Qualifications: Technical Diploma or equivalent. Languages: Fluent English. Main Skills: Minimum of 5 years of experience (in this field or similar). Great teammate with strong organizational, interpersonal, and communication skills, ability to meet deadlines, and flexibility in working under pressure, advanced IT tools skills.
